Excel
- Click the File tab.
- Click Save & Send, and then click Save to SharePoint.
- Find the SharePoint location to which you want to save, and click Save As.

Upload files from Explorer to your OneDrive or SharePoint sites library
- Open the OneDrive or SharePoint site library.
- Select Upload at the top of the Documents library.
- In the Add a document dialog box, select Browse to upload an individual file.
- When you've selected the file or files to upload, select OK.
Right click on the space between the item or document name and date, and then click Version History from the menu. You might need to scroll the menu to see Version History. If you don't see Version History, click the ellipsis () in the dialog and then click Version History. You'll see a list of versions of the file.
SharePoint Online has secure file sharing. External users can collaborate in real-time with your team and be required to have a username and password.
OneDrive is an online document/file storage platform. It's typically used by individuals and business teams who need a central location to store and access files. SharePoint is a collaboration tool for businesses that need multiple individuals and teams to work on documents and products at the same time.
How can Office 365 help you replace on-prem file servers? By using OneDrive and SharePoint, you can create the collaboration and accessibility your team needs. OneDrive allows file access from any device anywhere, while SharePoint is a team content management and intranet tool.
Here's how you share files or folders in SharePoint:
- Select the file or folder you want to share, and then select Share.
- (Optional) Select the dropdown list to change the type of link.
- Enter the names of the people you want to share with and a message, if you want.
- When you're ready to send the link, select Send.
- Select parts of your file share to sync with Office 365.
- Define your local file system as data source for Office 365 replication.
- Define a SharePoint library in Office 365 as data destination for your file system.
- Setup field mapping for file system metadata.
- Access your local files via Office 365 from everywhere.
The biggest advantage of using SharePoint Document Libraries for storing your business documents, as opposed to storing them on a network drive, can be summed up in one word – metadata. In the case of SharePoint Document Libraries, the document itself is the second “data” in this definition.
By default, it is stored in the SQL Server Content Database associated with the site collection. However, Sharepoint 2010 does support storing list data as BLOBs in external storage. See for more information.
Versioning SharePoint in Microsoft 365 requires versioning for Libraries; SharePoint Server allows you to select No Versioning as an option. Minor versions Both SharePoint in Microsoft 365 and SharePoint Server Library Settings allow a range of 1-50000 major versions allowed to have minor versions.
When you track major and minor versions, the major versions are whole numbers, and the minor versions are decimals. For example, 0.1 is the first minor version of a file, 1.3 is the third minor version of a file that was published once, and 2.0 is the second major version of a published file.
There are three editions of SharePoint Server: Standard, Enterprise, and Foundation (free) which was discontinued in 2016.
Before uploading to SharePoint, enable “Track Changes” in Word by going to the Review tab. a. Track Changes can also be turned on once the document has been uploaded to SharePoint. To edit, click on the document in SharePoint to open it, then click “Edit Document.” a.
Deleted items are retained in recycle bins for a certain period of time. For SharePoint, the retention time is 93 days. When you delete the item from the site recycle bin, it goes into the site collection recycle bin. It stays there for the remainder of the 93 days, and then is permanently deleted.
A SharePoint List is essentially a web part that holds/stores content in SharePoint and is represented via table format (rows and columns). A SharePoint Document Library is a "special list" for documents.
The SharePoint Version History feature makes it possible to see and restore earlier version of files and list items. Version History is enabled by default in SharePoint document libraries, but in other SharePoint lists you have to enable it.
Best Practices for File Versioning
- Include a version number at the end of the file name such as v1, v2, or v1. 2, etc.
- Include information about the status of the file, such as "draft" or "final. For the final version, substitute the word FINAL for the version number.
- Include information about changes that were made, such as "original" or "cropped".
